Call For Papers/Submissions
This module will
simplify the administrative users
process by streamlining the submission &
review process. The admin has the
ability to easily create a custom submission
form, determining the fields of data to
be collected as well as set the field
length for these fields. Administrators
will be able to collect, review,
approve/reject, and download online
submissions. The admin can freely create
different levels of reviewer access and
assign them to specific submission
tracks to review & score. Reviewers can
then login and perform a blind review
scoring process, based on your custom
review score sheet. This scoring allows
the admins and reviewers to keep track
of the individual submissions and their
scores. The system will automatically
submit the appropriate customized
approval or rejection email to the
submitter.
Allows the
submitter to effortlessly upload their bio,
pictures/images, list their a/v needs,
co-presenter info, submission
description, track/category, etc. This
tool will also allow the submitter to
check the status of a previously
submitted presentation, edit/update
their submissions online by logging in
with a unique user name and password.
Includes downloadable reporting, such as
Presenter Conflict reports, Room
Conflict that interacts with the live
database in real time.\

XpoMap / XpoManage / Xpo Planner
XpoMap:
With ERs dynamic exhibit hall floor
plan system, you can allow your
exhibitors to conveniently go online to purchase
available booth space. During this
process they can acknowledge your booth
contract and also have the ability to
purchase Marketing/Sponsorship
opportunities. You can also ask them
survey questions and choose their
product categories (if applicable). This
system will allow them to view the floorplan and choose an actual booth to
purchase or show them the map and they
can indicate the quantity of booth type
they would like to purchase, while also
allowing them to give you their top
choices. After determining the type &
qty of booth, the exhibitors are asked
to secure their choice with a credit
card. The CLIENT will have the ability
to manually assign exhibitors into the
booth space, while also giving them the
ability to email the booth contact their
booth assignment #. The CLIENT can
change the design of the floor if
needed, by moving booths, combining
booths or renumbering as needed.
XpoManage:
Exhibitor contact data relationally ties
to events. Within each event an
exhibitor has a set of financials and
other event specific data that requires
tracking and manipulation. To improve
efficiency, a system that manages event
specific data tied to one exhibitor
record, will not only improve
efficiencies and accuracy, but also
centralize the administrative process
and exhibitor experience. With one
system, standardization will naturally
occur making the exhibitor experience a
simple, single sign-on process.
When used in
conjunction with the Interactive
Floorplan, this module gives complete
control to the exhibiting partner
contact regarding the number of
exhibitors registering, as specified in
the Policies and Procedures guide
supplied by the event team. To begin the
registration process, the contact is
given a user name and password to gain
access to the site. Once in the site,
the exhibitor contact has the ability to
purchase/edit booth selection, print
invoice/receipt, upload company logo,
make a payment, register booth staff,
etc. In addition, financial processing
and automatic e-mail confirmations are a
part of this high tech package.
Additional links to decorator services
and any other required by the client
will be included for easy access for
each exhibiting company.

XpoPlanner:
A full solution will include both a
back-end to manage event data and a
front-end for attendee interaction.
A dynamic web
based system designed to increase
traffic to your event. XpoPlanner gives
attendees and exhibitors valuable
up-to-date information and will allow
exhibitors to input full company
information (description, categories,
and demographics, company logos & social
networking links). Attendees can search
the exhibitor database by category,
company name or keyword. In addition,
attendees can view the available company
information and add to their personal
itinerary and plot the chosen exhibitors
of the floorplan for the attendee to
print. The XpoPlanner will be integrated
into CLIENTS existing website with a
seamless link. CLIENTS will have the
ability through the administration page
to download exhibitors' database to
their publishing company to be used for
the Show Guide.

Accreditation
Accreditation -
This module allows attendees to register
for workshops/education that will
provide them with CEU/CME s. The system
will allow the planner to quickly setup fixed or
variable credits per session. The
planner can then assign who attended and
who receives credit for attending the
session. The planner can create a custom
email blast to distribute communications
to the attendee that includes their
online printable certificate or the
attendee can access their registration
record at a later date to print the
certificate as needed. The system also
provides a Transcript for the attendee
to access in their record. The system
will provide the ability to track and
report accreditation at the session
level. (customization can also be added
to work with Session Scanning-see Onsite
Registration Services).

Housing
This module is integrated into the
registration process, allowing attendees
to register for your event with ease and book
their hotel in a one step process. This
system is designed to allow event
planners to easily manage their hotel blocks
direct with the attendees. Admins will
be able to create custom blocks based on
attendee type, min nights required, and
hotels avail. This allows the admin to
drive the hotel selection process for
specific attendee types, based on their
business rules. Admins will control the
inventory available and be able to view
inventory reports. The system will
generate new reservation lists and
change reports that they can submit to
the hotel. This module also includes
confirmation number email
communications, making it easy for
admins to distribute hotel confirmation
numbers.
Agenda/Room
Mngmt/BEO module:
This comprehensive tool allows
planners to build the entire shows
agenda, by day, room, task or function.
You can build each agenda item and then
assign all logistics to that room, a/v,
room set-up, meals, staff assignments,
duties, etc. The system will then create
printable BEOs/function sheets &
agendas for each agenda item.
